Job Description

Role Purpose:

The Lease Administration Manager is responsible for the complete administration of the lease lifecycle at the Mall, from initial documentation through to renewal, amendment, and surrender. The role ensures that all concession agreements and concession-related documents are accurate, legally compliant under Lebanese law, and faithfully reflect agreed commercial terms. Reporting directly to the CEO, the Lease Administration Manager maintains strict independence from the Leasing function to safeguard the integrity of the contracting process.

Key Responsibilities & Accountabilities:

  • Administer the preparation, review, and processing of all concession agreements, lease deeds, amendments, and related legal instruments for the Mall portfolio.
  • Verify all lease documents at each stage — draft proposals, pre-execution review, final signing — ensuring compliance with Lebanese law and full consistency with commercially agreed terms.
  • Maintain the tenant database, ensuring completeness and accuracy of all lease data, tenant legal documents (commercial registration, trade licence, insurance certificates), and related records.
  • Ensure all contract issuance and amendment authority is exercised strictly in accordance with the Sogemall delegation of authority framework; no document is issued without appropriate sign-off.
  • Manage the filing and archiving of all concession-related documentation, both physical and on the property management system, to support rent collection, renewal tracking, and dispute resolution.
  • Conduct periodic internal audit checks on lease data entries to ensure accuracy, completeness, and consistency with signed agreements.
  • Coordinate with the Finance team on billing accuracy, tenant account balances, and the preparation of final accounts for surrendering tenants.
  • Liaise with external legal counsel and other advisors as directed by the CEO on concession agreement templates, legal queries, and lease-related dispute matters.
  • Provide regular status reporting to the CEO on lease documentation progress, pending approvals, and any legal or contractual risks identified.
  • Support the Operations team during tenant handover and surrender processes, ensuring all documentation is in order and that handover procedures are followed.
  • Monitor compliance with company's operational policies and Lebanese regulatory requirements across all lease administration activities.
  • Identify process improvement opportunities within the lease administration function and propose enhancements to systems, workflows, and controls.

Education, Experience and Qualifications:

  • Bachelor's degree in Business Administration, Law, or a related discipline. A Lebanese law degree or paralegal qualification is highly desirable.
  • Minimum 6–8 years of experience in lease administration, legal documentation, or contract management, preferably within retail real estate or mall management in Lebanon or the broader MENA region. Strong knowledge of Lebanese commercial and tenancy law is an advantage.
  • Microsoft Office (Advanced Excel): Property Management System.
  • Arabic (native), English (proficient); French advantageous.
  • Strong knowledge of Lebanese commercial and tenancy law.
